Full Time Community Outreach / Volunteer Coordinator

Purpose of the position: To serve as the primary contact who is responsible for managing community outreach efforts and overall recruitment, training and positive management of volunteers serving Prairie Paws Animal Shelter. To work cohesively with those leading fund development efforts to ensure overall coordination of all community and special events as donor outreach. Develop, coordinate, and manage community outreach efforts including but not limited to bequests, fundraisers with local businesses, adoption events at local partners and other offsite partners.

Duties:

Volunteer Recruitment: The Coordinator is responsible for continuing Prairie Paws Animal Shelter volunteer recruitment efforts through online marketing, social media, community events, in person networking and other activities. As a prominent face of Prairie Paws Animal Shelter in the community the Coordinator is frequently in a position to promote the shelter and the wealth of available volunteer opportunities.

Orientation and Training: The Coordinator is the volunteer’s first contact at Prairie Paws Animal Shelter and sets the tone for expectations of all volunteers. The Coordinator welcomes new volunteers through regularly scheduled mandatory orientation sessions, schedules volunteers into regular volunteer shifts, helps volunteers transition into the variety of tasks they are volunteering to do, follows up to ensure that the volunteers have been integrated smoothly into the tasks they have volunteered to perform.

The Volunteer Coordinator leads a variety of volunteer training sessions for specific volunteer assignments and develops effective training materials and programs including but limited to policies, procedures, applications, agreements, handbooks, role descriptions, orientations, training’s, newsletters, etc.

Volunteer Retention:

The volunteer program is only successful if volunteers continue donating their time to Prairie Paws Animal Shelter. The Coordinator is responsible for maximizing the retention of volunteers by:

  • Understanding why volunteers join Prairie Paws Animal Shelter and how we can serve them better
  • Working with staff to provide a supportive welcoming environment for volunteers
  • Help volunteers integrate into the Prairie Paws Animal Shelter Environment
  • Providing frequent communication with volunteers
  • Representing the needs of volunteers to Prairie Paws Animal Shelter staff
  • Seeking ongoing feedback from volunteers
  • Continually looking for ways to strengthen the volunteer program and improve volunteer experience

Volunteer Supervision:

Volunteers are supervised primarily by the Volunteer Coordinator as well as other staff members (or at times other experienced volunteers). The Coordinator is to offer constructive feedback, disciplinary action when necessary, and coaching to volunteers when needed.

Education:

Educate the public about the programs and services at the Prairie Paws Animal Shelter. The Coordinator must be able to build rapport with strangers and listen carefully to their perspectives and needs and inform them of the programs Prairie Paws Animal Shelter offers that will fit their needs. The Coordinator must do a minimal of 4 offsite Outreach presentations a month (schools, businesses, etc.) educating the public on the programs Prairie Paws Animal Shelter offers.

Program Administration:

The Community Outreach/Volunteer Coordinator is responsible for the administrative aspects of the Community Outreach/Volunteer program which includes but limited to:

  • Maintaining and developing volunteer records in Volgistics (or similar database)
  • Track and access volunteer statistics
  • Manage the volunteer email account
  • Prepare weekly informational emails to volunteers as needed to keep abreast of shelter & offsite volunteer needs and efforts being made
  • Implementing and acting as administration on the Official Prairie Paws Volunteer Facebook Group
  • Maintaining relationships with various community agencies that are sources for volunteers
  • Create and implement annual outreach plan
  • Attend relevant community meetings; participate in relevant councils, roundtables and committees
  • Schedule and personally conduct at least 4 outreach presentations a month
  • Attending workshops/training’s on volunteer management and integrating relevant ideas back to the shelter.
  • Communicating Prairie Paws Animal Shelter policies and procedures to volunteers, and providing correction as needed
  • Creating and updating volunteer protocols, SOPs and training materials
  • Overseeing all volunteer scheduling and training (including scheduling, content and implementation)
  • Matching volunteers with opportunities that best suit their skills and interests and serve the organization
  • Scheduling, organizing and executing formal and informal volunteer appreciation efforts (awards, celebrations, etc.)
  • Participate in leadership meetings and staff meetings
  • Coordinate and lead volunteer meetings
  • Maintain close relationship with the Animal Behavior Team to assist with volunteer needs for animal care
  • Performing other duties as assigned by the Executive Director, Operation Director and Director of Administration

Schedule: The Community Outreach / Volunteer Coordinator position is a full time, salaried position, must be able to work Saturdays and occasional evenings as needed. Presence is required at all special events.

Compensation: Please submit salary requirements, health benefits not offered, vacation time accrues after 90 day probation period.

Qualifications Required:

  • The ability to communicate with, supervise, empower and motivate volunteers to be effective in their roles
  • Experience leading a volunteer program or managing employees
  • Demonstrated leadership skills
  • Self-starter, initiating activities within the framework provided/developed with minimal supervision
  • Very strong public speaking and teaching skills, with all size groups and in one-on-one situations

  • Passionate about animal welfare

  • Willingness and ability to travel often with very short notice
  • Excellent verbal and written skills
  • Strong organizational and time management skills

  • Ability to multitask and maintain a pleasant, professional manner in the midst of tense or adverse situations
  • Can provide constructive feedback and implementing disciplinary action when appropriate
  • Flexibility in work duties, scheduling and openness to change
  • Ability to be a team player and can work with all types of personalities
  • Knowledge of animal welfare, animal behavior and handling of animals
  • Prior nonprofit experience is preferred
  • Bachelor’s degree preferred
  • Formal Training in Volunteer Management preferred

Experienced Dog Groomer Needed:  Full time/ Commission Based Dog/Cat Groomer needed at animal shelter in Ottawa, KS. Only experienced, all breed dog groomers need apply. We are looking for an awesome, personable, upbeat, ambitious, conscientious groomer to join our team. Would prefer someone that is able to groom, shave down and bathe cats.

This is a skilled position so we require that applicants have gone to grooming school or have had extensive grooming experience and own basic grooming equipment, clippers, blades, combs, brushes and have/will properly maintain the equipment. Must be able to groom breed specific cuts, bathe, nails, and express anal glands. Prairie Paws will provide the space, table, shampoo, conditioner, a dryer, kennels, ear cleaner, styptic powder, cotton balls, etc. This is not a train on the job position. We require someone who is dependable and excels at time management and customer service skills and most importantly love working with animals and has the stamina to groom several dogs per day.

As a PPAS employee (commission based) working with the facility, the sky is the limit on how many days a week you want to work but we require a candidate who is willing to groom animals during the minimum of our 4 open days a week. Saturday hours are a MUST. Serious job seekers would need to show off their grooming skills during their interview.

Summary

The Animal Care Associate is responsible for maintaining a safe, sanitary facility for animals; providing humane handling, behavioral training, proper nutrition, exercise and care for all shelter animals; and assisting the public in adopting animals; and promoting responsible pet ownership.

Essential Duties and Responsibilities Include: * Clean and disinfect assigned kennels or cages; assist teammates in ensuring entire shelter is completed in time for the public’s arrival * Conduct daily/continual kennel inspections and assists in repairs and upkeep as well as daily cleaning, disinfecting and maintenance * Ensure that all animals receive proper food and water, bathing, grooming and humane handling * Ensure all dishes, toys, and bedding are sanitary * Ensure that all animals taking medication are given proper dosage at the proper times and communicating that medication has been given * Continually inspects adoption areas, interaction areas, and spot cleans cages and runs when necessary * Greet visitors and potential adopters; respond to questions about the adoption process and specific animals; provide accurate information and friendly service to the public; makes assessments of applicants’ qualifications and give feedback to the Adoption Coordinators * Assist in animal assessment and training * Performs special assignments and other duties as assigned when necessary

ABILITIES: * Ability to read and interpret documents such as safety rules, warning labels, product instructions, operating instructions and procedure manuals. * Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. * Ability to process complex verbal and written instructions and translate them into a series of logical problem solving steps. * Ability to communicate effectively verbally and in writing. * Ability to have close contact with domesticated animals. * Ability to handle, restrain, lift and move domesticated animals. * Ability to fluently speak, write and understand English. * Ability to write legible on Prairie Paws Animal Shelter forms, reports and documents. * Ability to adhere to disease management and safety protocols. * Maintains proper inventory levels of cleaning and other supplies. Informs the Lead when reordering is necessary. * Ability to operate locks, handles, latches, faucets and sprayers. * Ability to answer all questions effectively and in a pleasant manner. * Ability to communicate effectively with the public and to a variety of audiences. * Ability to work in a team oriented and frequently changing environment. * Ability to work under stress during crisis or disaster situations. * Ability to work varied hours/days, including nights, weekends, and holidays, as needed.

Preferred: High school diploma or general education degree (GED) * One year related experience and/or training; or equivalent combination of education and experience.

Working knowledge of shelter terminology and processes; ability to identify animal species, breeds, ages and sexes; ability to identify signs of animal illnesses, diseases and injuries; demonstrated animal control knowledge and abilities. * Skill in animal first aid and CPR, basic animal grooming techniques, and basic laboratory techniques * Working knowledge of MS Office and internet software * Self-motivated, well organized, detail oriented, and able to effectively work independently and within a team framework * Goal oriented, committed to excellence and results * Strong interpersonal communication skills required; able to responds promptly to customer needs; solicits customer feedback to improve service; responds to requests for service and assistance. * Ability to approach customers and guide them through entire pet adoption or placement process. * Must have a great sense of humor and enjoy working in a relaxed office environment * Capable of balancing multiple priorities, with limited resources, in a fast-paced environment * Must be comfortable interacting with dogs and cats * Must have a valid driver’s license & reliable mode of transportation * Must be willing to work flexible hours, including evening, weekends and holidays as needed.

Work Environment: * Exposure to high noise levels and odors * Exposure to fumes or airborne particles and toxic or caustic chemicals

Physical Demands: * Must frequently lift and/or move up to 50 pounds and occasionally lift and/or move more than 100 pounds. * Must be able to regularly stand; walk; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl * The employee should have no known allergies to animals that would prevent him/her from performing the duties as required. * Typical positions require workers to walk or stand for long periods; Employee will work outside in a variety of weather conditions.

Work

Work is subject to working on weekends and holidays. Hours are typically scheduled from 7:30 am-4pm ( closed days and Saturdays) and 7:30am – 6pm (open days) depending on coverage. Wage: $7.50 an hour, no benefits or vacation pay. Wage maybe higher based on experience.
